Files and filesharing
These pages give some more information about how to share or exchange files in an efficient and secure way inside and outside the institute.
Inside the institute
- MPI-Scratch: meant for file exchange, not storage. The data here is readable and writable for everyone within the institute.
It will be removed automatically after 15 days and no backup is available. - Workspace: shared data areas for specific groups, departments, or projects. By default, these areas are accessible for the members of a specific group only. To request workspace, send an email to datasupport@mpi.nl with the name of the group, the project name, and the members that need access.
- Corpora: data that is intended for long-time storage as, for instance, documents for publications or data for which exists an obligation to be kept for a certain amount of time. This should in general be archived. For archiving, a web-based deposit tool must be used. The guarantees that the data is enriched with the proper metadata and cannot be changed, manipulated, or deleted.
In the table below you will find the most used drive letter mappings in Windows and their corresponding network location on Linux. Multiple departments use the "P:\" drive as default for their workspaces, it will be automatically mapped according to your primary department. Please keep in mind that people can make their own drive mappings in Windows as well as these automatically mapped ones. And note that this list is not complete, notably the MPI-Scratch (M:\) is missing because it doesn't have a Linux location. See the article about accessing the MPI-Scratch.

All files on the servers in the network are backed up every day and kept for three months. Files stored on local machines are NOT backed up. To be more specific:
Windows:
- All data stored on K: (whomes) or U: (homes) are backed up
- Data on C: and D: (the local pc drives) are NOT backed up (your Windows profile: Desktop, Documents, Downloads etc. is stored op the C: drive; always save your files on K:)
Macintosh
- All data stored in: Shared - Corpora in Finder are backed up
- Data on the local machine are NOT backed up
Linux:
- All data are backed up
Workspaces:
- All data are backed up
!!! Important: Backup is not keeping track of versions of documents. If you want to keep older versions of files save them with a different name and/or different location.
Outside the institute
- Cryptshare: especially for sensitive data, max 20 GB, deletion after 21 days.
- Owncloud: store up to 50 GB, online OnlyOffice editor.
- SURFdrive: store up to 250 GB, only on request and only between Dutch research and education institutes
- GWDG FileSender: a secure way to share large files with anyone. Upload files and temporarily share them with a link and password.
